2025 Food and Merchant Vendor Application

Personal information collected on this form is collected pursuant to the Municipal Freedom of Information and Protection of Privacy Act, 2001 and will be used for the purpose of reviewing applications for the LaSalle Strawberry Festival. Questions about the collection of this information should be directed to the Municipality at 519-969-7770.

The 2025 LaSalle Strawberry Festival will take place from Thursday, June 5 to Sunday, June 8, 2025 at the Vollmer Recreation Complex, located at 2121 Laurier Parkway.

Accepted vendors will be notified by email in May. Accepted vendors must provide the following information:

  • Merchant/Retail vendors must provide:
    • Full payment.
    • Certficate of Insurance (COI) naming Town of LaSalle as additional insured for $5,000,000.
      • COI must include a 30-day cancellation clause.
  • Food Vendors must provide:
    • Full payment.
    • Certficate of Insurance (COI) naming Town of LaSalle as additional insured for $5,000,000.
      • COI must include a 30-day cancellation clause.
    • WECHU Food vendor Application Form (found here: WECHU Food Vendor Application
    • TSSA Proof of Compliance: TSSA Field Approval

Without these documents, the Town of LaSalle will not confirm your participation and you will not be allowed to set up on site until the documents are received.

VENDOR INFORMATION

BOOTH INFORMATION

Booth sizes are 10 feet x 10 feet (100 square feet). Booth fee covers the space only. Please note that all display racks, cabinets, tables, chairs, storage, tents canopies, awnings, pegs, poles, coolers and platforms must be confined within the booth space.

Please request the correct amount of booth space you will require. One booth covers 10 feet x 10 feet only. If a vendor booth set up 11 feet long, 2 booths are required to purchase to accomodate the space.

All food booths must have a portable fire extinguisher with a minimum 2A 10BC rating and have a technician tag attached certifying maintenance within the last 12 months.

Should you leave your vendor site with damaged, leftover debris or garbage, and requires extra clean up or vendor vacates the space prior to the end of the festival, you will be invoiced by The Town of LaSalle for the clean-up/repair costs.

The LaSalle Strawberry Festival will take place at the Vollmer Recreation Complex. All vendors will be placed on asphalt. 

Vendor tents must be secured by weights or sand bags. Ground-stake anchoring is not available. The Town of LaSalle will provide sand bags on a first-come, first-serve basis.

I understand that I cannot stake my tent(s) into the ground and will use alternative methods.
 

HYDRO INFORMATION

One FREE hydro outlet is provided (if requested) with booth fee. Additional hydro is $75.00 per plug.

  • Only three (3) pronged electrical cords with ground-fault circuit interruption are permitted and must be provided by the vendor.
  • It is the vendor’s sole responsibility to meet all electrical requirements. Vendors will be held financially responsible for damage, tampering, or alterations to power.
  • Electrical is based on availability. Vendor must ensure trip hazards are prevented.

*Extension cords must be supplied by the vendor. Cords are not supplied by the Town of LaSalle*



By signing this agreement, the vendor acknowledges that he/she has read and will abide by the Town of LaSalle Accessible Customer Service Policy, Vendor Selection and Attendance Policy, Harassment and Discrimination Policy and Violence Prevention Policy found on the Town of LaSalle website at www.lasalle.ca. The vendor understands that once payment is made, all fees are non-refundable.

The Lessee agrees to indemnify, defend, and hold harmless the Town of LaSalle, its agents, servants, employees, trustees, officers, Councillors and representatives from any and all liability, loss or damage that the Town of LaSalle may suffer as a result of any claims, demands, costs, actions, causes of actions or judgments, including legal fees, asserted against or incurred by the Town of LaSalle & LaSalle Strawberry Festival arising out of, during, or as a result of participation in the LaSalle Strawberry Festival, save and except any liability, loss or damage that is the result of or arising out of the sole negligence of the Town of LaSalle, its agents, servants and employees. This vendor agreement is only valid for the 2023 LaSalle Strawberry Festival. Personal information is collected under the authority of the Municipal Act, R.S.O. 2001.
